Position Overview

As a valued member of the arenaflex team, the Energy Services Data Entry Clerk (Typist) will play a crucial role in maintaining organized, accurate, and up-to-date digital records that directly support the day-to-day operations of our Energy Services Programs. Working remotely from your home office, you will collaborate with program staff, energy assistance specialists, and administrative leaders to ensure that client information flows seamlessly through our service delivery pipeline. Your precision and consistency will help us serve more families efficiently, maintain regulatory compliance, and deliver on our promise of community-centered support.

This is a full-time remote position offering the flexibility of working from home while remaining closely connected to a supportive, collaborative team. You will become an expert in multiple state and federal database systems, learn the intricacies of energy assistance program administration, and build a strong professional foundation within the human services sector.

Key Responsibilities

  • Client Record Management: Accurately input, update, and maintain client status records within the Statewide Client Service Center, ensuring the production pipeline reflects current, real-time information for program staff and stakeholders.
  • Email and Communication Monitoring: Proactively monitor incoming emails, log documents, and archive communications within the Monday.com platform upon receipt, ensuring no critical information slips through the cracks.
  • Database System Administration: Follow program guidelines for the proper use of all required database systems, including Monday.com, CMS, CSG eConservation, HEARTWAP, LIHEAP, In Demand, and any other platform essential to energy services delivery.
  • File Organization and Compliance: Maintain meticulously organized digital and paper participant files in strict accordance with program guidelines, ensuring full compliance with agency policies and funder requirements.
  • Cross-Functional Collaboration: Work closely with program staff to support, enhance, and promote seamless communication and consistency in the delivery of services across the energy assistance team.
  • General Clerical Support: Assist with a variety of administrative duties, including filing, mailings, phone coverage, document preparation, and other tasks that keep the program running smoothly.
  • Remote Work Excellence: Maintain consistent availability for remote work responsibilities, including attending virtual meetings, participating in calls, promptly responding to emails, and conducting all regular duties from a dedicated home workspace.
  • Professional Development and Training: Attend all required staff meetings, supervision sessions, training programs, and contractual meetings to remain current on program updates and organizational expectations.
  • Continuous Learning: Participate in mandatory agency training and other relevant professional development activities designed to expand your skills and deepen your understanding of human services work.
  • Confidentiality and Ethics: Maintain strict confidentiality in all aspects of the role, handling sensitive client information with the utmost discretion and integrity.
  • Additional Duties: Perform related work and special projects as required, demonstrating flexibility and a team-first attitude.

Essential Qualifications and Skills

  • Educational Background: An Associate degree is required, or an equivalent combination of education and professional experience that demonstrates comparable preparedness for the role.
  • Professional Experience: A minimum of two years of experience in Human Services or a closely related field, or applicable work experience working with diverse individuals and families with low incomes.   • Flexible Substitution: Additional appropriate education may be substituted for experience, or additional directly related experience may be substituted for education. We believe in recognizing talent from multiple pathways.
  • Language Skills: Bilingual proficiency in Spanish is strongly preferred, as it will enable you to support an even broader segment of the community we serve.
  • Technical Proficiency: Strong comfort with multiple database platforms, email systems, and digital file management tools. Experience with Monday.com, CMS, HEARTWAP, LIHEAP, or similar systems is a plus, but a willingness to learn quickly is equally important.
  • Attention to Detail: Exceptional accuracy and precision in data entry, with a natural ability to spot inconsistencies, errors, or missing information.
  • Organizational Strength: Proven ability to manage multiple tasks, prioritize competing deadlines, and maintain order in a fast-moving remote environment.
  • Communication Skills: Clear, professional written and verbal communication skills that allow you to collaborate effectively with team members, respond to client inquiries, and document information thoroughly.
