About the Role

As a Remote Data Entry Specialist at arenaflex, you will be responsible for performing daily reconciliation, trade, and transfer activities across a variety of investment products. Your primary deliverables will include processing exchange buy and sell transactions in customer profiles, identifying and addressing breaks recognized between arenaflex and fund companies or transfer agents, and ensuring that all operational activities are completed accurately and on time. This role also encompasses the management of Corporate Action Events, settling and reconciling transfer activity, and processing and reconciling distributions activity. Your contributions will directly impact the experience of our clients and advisors, making your attention to detail and commitment to quality absolutely essential.

Beyond daily transaction processing, you may be called upon to conduct research on complex or escalated issues, perform testing and validation of new technology enhancements, and support vendor or system changes. The work you complete in trading, dividends, transfers, reconciliation, and corporate actions will have a direct influence on client and advisor accounts. A specialist's inability to accurately process or analyze client transactions could result in account attrition, client dissatisfaction, or potential liability for arenaflex. Therefore, we are seeking individuals who take pride in precision and understand the importance of their role within the broader financial ecosystem.

This position involves regular communication with Retail and Institutional Service Teams via email, phone, Slack, Outlook, and Salesforce. You will also interact directly with arenaflex Clearing, fund companies, transfer agents, contra firms, and other external business partners in our daily operations. Strong communication skills and a professional demeanor are key to succeeding in this collaborative environment.

Key Responsibilities

  • Trade and Transaction Processing: Review and process subscription, redemption, and exchange transaction requests in a timely and accurate manner, ensuring all client accounts are maintained according to regulatory and company standards.
  • Reconciliation Activities: Perform reconciliation of trades, dividends, and transfer breaks across our Back Office System (BOS) and fund companies, identifying discrepancies and implementing corrective actions as needed.
  • Client and Advisor Exception Handling: Address client-level and advisor-level exceptions, providing resolutions that maintain account integrity and customer satisfaction.
  • Regulatory Compliance: Adhere to all regulatory obligations, including but not limited to Rule 2340 and Rule 15c3-3, ensuring that all activities are conducted in full compliance with industry standards.
  • Tax Code Review: Evaluate and assess relevant tax codes, making necessary adjustments to tax coding to ensure accuracy in client reporting and transactions.
  • Problem Resolution: Investigate internal and external system issues, identify the root cause of breaks between arenaflex and fund companies, and recommend process or technology solutions to management.
  • Remediation Support: Address transmission issues with funds or contra agencies, working collaboratively to resolve problems efficiently and prevent recurrence.
  • Business Partner Service: Respond to inquiries from business partners regarding fund-specific requirements and eligibility, providing clear and accurate information.
  • Alternative Investment Support: Follow up on alternative investment transfers to expedite client requests and remediate any out-of-balance issues promptly.
  • Client Request Fulfillment: Complete client trading and distribution requests accurately and within established service level agreements.

Essential Qualifications

  • Educational Background: A high school diploma or equivalent is required; an associate degree or bachelor's degree in finance, accounting, business administration, or a related field is preferred.
  • Computer Proficiency: Strong working knowledge of Microsoft Office Suite, including Excel, Outlook, and Word. Familiarity with Salesforce, Slack, or similar business communication tools is a plus.
  • Typing and Data Entry Skills: Demonstrated ability to type accurately and efficiently, with a minimum typing speed of 45 words per minute preferred.
  • Attention to Detail: Exceptional accuracy and attention to detail, with a commitment to producing error-free work in a fast-paced environment.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with internal teams and external partners via phone, email, and chat platforms.
