Key Responsibilities

  • Manage multiple databases—including the National Reporting System (NRS)—to ensure precise record‑keeping and seamless data organization.
  • Enter grant‑related data accurately and on schedule, meeting monthly, quarterly, and year‑end reporting deadlines.
  • Maintain attendance and assessment records in strict accordance with FERPA regulations and internal security protocols.
  • Conduct regular error checks, data clean‑up, and validation processes to guarantee the highest level of reporting accuracy.
  • Provide timely data access to staff, program managers, and external stakeholders, facilitating informed decision‑making.
  • Organize, prioritize, and track tasks to meet local, state, and program‑specific deadlines without compromising quality.
  • Monitor and evaluate student outcomes, including pre‑ and post‑testing results for state‑mandated assessments.
  • Participate actively in virtual staff meetings, professional development sessions, and collaborative projects.
  • Scan, label, and archive physical documents, ensuring a well‑structured digital repository.
  • Perform inventory checks of office supplies, ordering replacements as needed to keep the remote workspace fully stocked.
  • Execute basic word‑processing tasks, draft routine correspondence, and assist with mailings and filing.
  • Support additional assignments and special projects as directed by supervisors, demonstrating flexibility and a proactive mindset.

Essential Qualifications

  • High School diploma or GED (required).
  • Demonstrated knowledge of standard office practices, procedures, and Microsoft Office Suite, with a strong emphasis on Excel.

  • Certification in data management, records administration, or a related discipline (e.g., Certified Records Manager).
