Why This Role Matters

As a Remote Operations Manager – Opinion Sharing & Data Entry, you will be the backbone of arenaflex’s day‑to‑day office operations, technology infrastructure, and data‑management initiatives. This position blends strategic oversight with hands‑on execution, ensuring that our teams—both on‑site and remote—have the tools, processes, and support they need to deliver high‑quality services to the communities we serve.

Key Responsibilities

  • Office Operations Management: Oversee daily office functions such as call handling, visitor reception, mail distribution, banking transactions, and supply procurement.
  • Facilities & Space Optimization: Coordinate maintenance, upgrades, and space planning to maintain an efficient, safe, and welcoming work environment.
  • Technology & IT Oversight: Serve as the primary point of contact for all IT matters, including network support, hardware procurement, software licensing, and compliance with industry standards.
  • System Administration: Manage shared platforms (e.g., Monday.com, Adobe, arenaflex Business, VoIP, Keeper Security, HRIS, Zoom, and other collaboration tools) to ensure seamless communication and data flow.
  • Onboarding & Training: Deliver comprehensive orientation for new hires, covering office tours, technology onboarding, policy reviews, and cultural integration.
  • Event Coordination: Provide logistical and technical support for internal events such as weekly staff meetings, quarterly town halls, and external webinars.
  • Data Governance: Ensure the confidentiality, integrity, and proper classification of sensitive information both on‑site and remotely.
  • Risk & Compliance Collaboration: Partner with the Risk Manager to develop, implement, and monitor risk mitigation and compliance strategies.
  • Continuous Improvement: Identify process inefficiencies, propose solutions, and lead implementation of operational enhancements.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Management, Information Systems, or a related field.
  • Minimum of three (3) years of experience in office administration, operations management, or a comparable role.
  • Demonstrated ability to manage multiple priorities in a fast‑paced environment while meeting strict deadlines.
  • Proficiency with Microsoft Office 365 suite (Outlook, Teams, SharePoint, Word, Excel, PowerPoint) and familiarity with cloud‑based collaboration platforms.
  • Strong written and verbal communication skills in English; ability to convey complex information clearly and concisely.
  • Experience handling confidential data with discretion and adhering to privacy regulations.

Preferred Qualifications & Experience

  • Experience in a nonprofit or community‑health setting, especially with federally qualified health centers.
  • Background in change management, system implementation, or process redesign.
  • Hands‑on experience managing a small‑to‑mid‑size IT environment (25‑35 users).
