Summary: As part of a mission centric, locally delivered and nationally powered organization this role is accountable for building relationships with fundraising volunteers while implementing innovative peer to peer fundraising products to exceed revenue goals for Blood Cancer United’s mission, within the Athletics sport/event offering. Relentlessly pursuing cancer cures. Mission Integration: Partner with the Education, Services and Health Research department to effectively communicate the overall mission, programs, resources, and priorities. Maintain a working knowledge of the mission and programs to promote Organizational initiatives. Responsible for organizing mission-centered activities during events for constituents to engage with our mission. Event Production Oversite: Serve as project lead for assigned events with a primary focus on volunteer management, event communications, coaching staff, race registration, and in-kind partnership coordination, while supporting overall event logistics as needed. Regularly communicates and collaborates with the revenue development team as a project manager to ensure exceptional event experience for participants and sponsors. Develop, monitor, and update event production timelines; adhere to deadlines; communicate progress and identify potential roadblocks or resource needs to the supervisor and other key stakeholders. As needed, oversee the reservation and securing of permits, contracts, and insurance for events by predetermined deadlines, establishing and maintaining positive relationships with communities and race organizers hosting our events and vendors; identify and recommend new venues as necessary. Own end-to-end preparation for external calls, including slide development, agenda creation, speaking roles, and briefing all presenters in advance. Schedule and lead event planning meetings with appropriate staff, vendors, contractors, race organizers, and local entities (pre, post, on-event). Maintain and regularly update all externally facing event information, ensuring content is accurate, current, and aligned with brand standards across all participant and stakeholder communications. Oversee the management, inventory, packing, and shipment of organizational assets and event materials, coordinating with warehouse partners and internal teams to ensure all items are accurately tracked and delivered where needed, on time. Track expenses and adhere to approved budgets for all events, identifying cost savings. Key Relationship Management: Partner and maintain positive relationships with entities like race organizers, venue/vendor staff, local law enforcement, government permitting agencies, and local organizations involved with or hosting our events. Lead end-to-end volunteer management for events, including recruitment, training, scheduling, ongoing communication, and on-site supervision, while fostering engagement and ensuring volunteers understand their roles in supporting participant safety and overall event success. Foster collaborative relationships with national coaches and training consultants; provide oversight and strategy for the coaching and training program delivery to participants. Maintain relationship with training technology partner; ensure product meets campaign needs for seamless constituent experience. Support sponsorship fulfillment and manage deliveries before and during the event. Collaboratively manage the distribution and activation of any secured in-kind materials and services, ensuring partners receive appropriate recognition and visibility. Education & Experience Requirements: Bachelor’s Degree 2-4 years of relevant experience Prefer related experience in event planning and operations, partnership development and relationship management Position Requirements: Ability to work independently. Strong initiative with the ability to manage multiple projects with competing priorities. Ability to multi-task, prioritize, and organize while acting to achieve specific results. Ability to establish and maintain strong collaborative relationships and work effectively with multiple teams. Ability to adjust and maintain effectiveness in the face of multiple demands and challenges. Strong organizational, planning, and prioritization skills. Excellent written and oral communication skills with strong interpersonal skills. Results-driven, tenacious, strong attention to detail. Physical Demands & Work Environment: Work environment is representative and typical of similar jobs in comparable organizations. Onsite event support including extended time on feet, physical setup/teardown, and lifting/moving event materials as needed. It is typical to be required to move Campaign materials weighing up to 25 pounds, or up to 50 pounds with assistance, while onsite at events. Travel up to 15% to designated events; each event trip varies between 2-8 days. Flexibility to work occasional evenings and weekends to support event needs. We are excited to share the base pay range for this non-exempt hourly paid position is $80K to $95K. The offered compensation may vary based on factors such as geographic location, business need, market conditions, proficiencies, skills, education, and experience. Base compensation is only one component of our Total Rewards program, which also includes an annual incentive plan and a competitive benefits package.
