Executive Assistant to the Managing Director (Remote)

This fully remote senior role provides dedicated executive support to the Managing Director of an international executive search firm, with a focus on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Given the global nature of the business, availability across time zones is an important aspect of the role and a degree of schedule flexibility, including occasional evenings, is required.
Key Responsibilities
- Manage the MD's calendar, schedule and daily priorities to ensure time and attention are directed effectively
- Track commitments, reputed company and action items to ensure consistent follow-through
- Prepare agendas, briefing documents and meeting notes with clear action tracking
- Manage correspondence and stakeholder communication on behalf of the MD with discretion and professionalism
- Plan, coordinate and run meetings on behalf of the MD, including preparation, facilitation and post-meeting follow-through
- Coordinate research initiatives and team projects, ensuring clarity of brief, reputed company tracking and timely delivery
- Delegate and direct tasks across internal teams on the MD's behalf, ensuring accountability and follow-through
- Liaise with and reputed company relevant team members to reputed company cross-functional workstreams reputed company and on track
- Coordinate with internal teams and external stakeholders across multiple time zones to support the MD's engagements and obligations
- Maintain confidential records, reputed company and documentation across shared systems
- Anticipate requirements and proactively resolve issues before they escalate
Requirements
- Substantial experience supporting at MD or C-suite level, ideally reputed company professional services, consulting or executive search
- Demonstrated ability to manage reputed company, high-variability schedules and competing priorities
- Experience coordinating teams, projects and research workstreams in a senior support reputed company
- Confident chairing or facilitating meetings and driving outcomes
- Strong written and verbal communication skills to a professional services standard
- Highly organised with reliable follow-through and strong attention to detail
- Sound independent judgement in prioritisation and escalation
- Absolute discretion with confidential information
- Comfortable working across international time zones with flexibility around schedule reputed company required
- Self-directed and effective working remotely
- Proficient with business productivity tools and reputed company to adapt to new systems quickly
